The A. M. Qattan Foundation is seeking to recruit a highly motivated individual for the position of Facilities Manager to work in its offices in Ramallah. Following is the description of this position:

 

Job Title: Facilities Manager

Job Type: Full time

Line of Responsibility: Director of Administration.

Work Location: Ramallah

 

Job Objectives:

Ensuring efficient management and optimal operations of the Foundation’s building facilities and systems in accordance with the approved policies and procedures.



Main Tasks & Responsibilities:

  • Monitor building management system performance and keep records
  • Prepare and update all policies related to facilities use and management e.g. assets management policy, security policy, waste management plan.
  • Ensure efficient operations of the building’s facilities and systems through regular monitoring, inspection, supervision of preventative, regular and contingency maintenance and repair activities.
  • Ensure efficient cleaning, gardening and parking services.
  • Ensure that the building meets health and safety requirements, and coordinate regular safety inspections.
  • Supervise and organise security services.
  • Develop fixed assets registry, carry out annual count of assets and update records.
  • Supervise storage, relocating and disposal of fixed assets as necessary.
  • Advise and monitor on waste reduction, recycling and disposal, and on best practices for green buildings and efficient energy use.
  • Provide logistical support for functions such as concerts, exhibitions and workshops in close coordination with programme staff.
  • Ensure efficient use of resources and compliance with the relevant approved policies.
  • Schedule the use of facilities in close coordination with Directors of Programmes and externally approved requests.
  • Prepare, renew and follow up on all agreements related to building’s facilities and systems services.
  • Act as a liaison with relevant third parties e.g. the municipality, civil defense and /police.
  • Take part in recruiting and selecting the sub-ordinate staff.
  • Supervise and monitor the daily activities performed by the sub-ordinate staff; conduct appraisal and determine training needs.
  • Ensure that all staff are trained on safety issues, emergency evacuation, waste management procedures and relevant building systems.
  • Participate in preparation of the annual budget & work plan as related to facilities management and ensure efficient execution within the approved budget.
  • Prepare and present regular reports including those for the semi-annual and annual reports, on all relevant issues.
  • Any other work-related activities.

Skills/Qualifications:

  • A bachelor degree in engineering, building management or another relevant field.
  • Minimum 7 years of work experience in facilities management.
  • Excellent technical knowledge of building management systems, electro-mechanical and audio-visual systems operations and maintenance.
  • Ability to develop good working relationships with a wide range of people.
  • Excellent spoken and written communication skills.
  • Strong organizational skills and ability to manage a varied workload and work under pressure.
  • Strong analytical skills and attention to details.
  • Demonstrated computer skills including the ability to operate building systems at a highly proficient level.
  • Excellent report writing skills
